Setup

Your first week with the Getting started checklist

The setup checklist on your Home tab, what each item needs, which ones tick themselves, and the order to do them in.

Every new workspace starts with a Getting started checklist on the Home tab. It walks you through Settings, your marketing pages, your first client and the apps, in the order that avoids backtracking, and ticks itself off as you go. This guide explains each item and why the order matters.

The checklist lives on your Home tab as a widget called Getting started. It has four stages. Open one, click an item to go straight to the right page, and come back to see it ticked. Most items tick themselves from what is in your account; any item can be ticked by hand with the circle beside it, which is how you skip something that does not apply to you, such as Stripe if you only take cash.

Once every item is done the widget hides itself. Hide in its corner does the same at any time, and Help → Getting started checklist in the top bar brings it back.

Why this order

  • Stripe comes first because Stripe takes a few days to verify your identity, bank account and ABN. Start it on day one and the rest of the list fills the wait. Cash and bank transfer sessions log normally in the meantime.
  • Terms before Onboarding, because an onboarding flow with a "Sign terms" step needs published terms to point at.
  • Offers before Forms, because an enquiry form's outcome can hand the lead straight to an offer, and the booking page and store both build on your offers.

Stage 1: Set up your business

All of these live in Settings.

  1. Start connecting Stripe. Integrations → Connect Stripe. Ticks once an account is linked, even before Stripe finishes checking it. See Connect Stripe.
  2. Set your session defaults. General: default duration, cancellation notice, your video room link, timezone and date format. Ticks when any of them is changed from the factory setting; tick it by hand if the defaults suit you.
  3. Choose your notifications. Notifications → Save Preferences. Ticks on the first save.
  4. Add your logo and colours. Branding → Save Branding. Ticks once a logo or colour is saved. See Set up your defaults and branding.
  5. Publish your terms. Terms: write them and publish a version. A draft does not count. See Terms and conditions.
  6. Upload your certificates. Certificates: qualifications, first aid, insurance, each with an expiry so you are reminded. Ticks on the first upload.
  7. Stripe fully verified. Ticks when Charges enabled, Payouts enabled and Details submitted all show ticks under Integrations. Until then the row says "Waiting on Stripe" or "Payouts pending".
  8. Pick your TrainerStack plan. Billing. Ticks once a plan is active; during the trial the row shows when the trial ends.

Stage 2: Bring people in

All of these live in Marketing.

  1. Write down your offers. Offers: your packs, memberships and casual rate. Ticks on the first offer. See Write down your offers.
  2. Check and share your enquiry form. Forms: a starter form was made for you at signup, so this ticks once you have edited it, added a second form, or received an enquiry through it. See Share your enquiry form.
  3. Turn on your booking page. Booking: switch it on so prospects can book a consultation. See Set up your booking page.
  4. Set up your link page. Links: the one link for your Instagram bio. Ticks once the page is on. See Set up your link page.

Stage 3: Coach your first client

  1. Turn on an onboarding flow. My clients → Onboarding: build the flow and set it live. A draft does not count. See Set up client onboarding.
  2. Add and invite your first client. My clients: add them and send the app invite. The row says "Added, not yet invited" until an invite goes out. Switching from another tool? Import your list from a CSV, PTminder or Stripe under Settings → Integrations instead.
  3. Build your first program. Programs: a template you can copy to every client, or a program straight on one client. Either ticks it.
  4. Set up a weekly check-in. Your own check-in form, or a check-in schedule on a client using one of the built-in forms. Either ticks it.
  5. Book your first session. Calendar: any session ticks it.

Stage 4: Get the apps

  1. Install the trainer app. Sign in on your phone and allow notifications. Ticks once your phone has registered for push, which is how check-ins and chat reach you.

If it is not working

  • An item will not tick although I did it. The checklist reads your account when the Home tab loads. Switch tabs and come back, or reload. If it still shows open, tick it by hand.
  • I ticked something by mistake. Click the green tick to untick it. If the account data says it is done, it stays ticked and the hover says "Detected from your account".
  • The widget is gone. It hides itself once every item is done, or when you click Hide. Help → Getting started checklist brings it back and switches it on in your dashboard layout if you had hidden the widget under Customise.

Still stuck? Use Help → Report a problem in the dashboard, or email support@trainerstack.pro.
