Setup

Set up your defaults and branding

Session defaults, cancellation policy, timezone, and the logo and colours every client-facing page uses.

How to set your session defaults, cancellation policy and timezone, and add the logo and colours that appear on every client-facing page and in the client app. Do this first so every booking page, invoice and invite looks like your business.

Ten minutes in Settings saves you a lot of retyping later. Your session defaults pre-fill every booking and every billing plan, and your branding is what prospects and clients see on your enquiry form, PAR-Q, booking page, payment pages and emails.

Before you start

  • Have a square logo ready as a PNG or JPG. It is resized to 512 by 512, so anything roughly square works.
  • Optional: a wide banner (about 1200 by 400) and a tall mobile splash image (about 1080 by 1920) for the client app.

Steps

  1. Open Settings in the sidebar. You land on the General tab.
  2. Under Session Defaults, pick your Default Duration. It saves straight away and shows a green tick. This pre-fills bookings, lead conversions and new billing plans.
  3. Under Cancellation Policy, choose the Notice Required. The default is 24 hours. Cancelling inside this window is warned about in the client app and flagged to you as a late cancellation. You still decide whether the session is forfeited.
  4. Under Online Sessions, paste your permanent video room into Default Meeting Link if you coach online. It saves when you click away from the box. Every session booked as a video call picks this up.
  5. Under Timezone & Regional Settings, set your timezone, Date Format (choose DD/MM/YYYY for Australia), Time Format and Week starts on. These save on every change with no message.
  6. Open the Branding tab.
  7. Pick a theme preset, or set your own Primary color, Accent color, Font and Background. Add a Business name if you trade under one. If you leave it blank, your own name is used.
  8. Upload your Logo, and optionally a Banner and Mobile splash screen.
  9. Click Save Branding. Nothing is stored until you do, including the images.

What you should see

  • Beside the Save button: "Branding saved", or "Branding saved (logo synced to Stripe)" once Stripe is connected.
  • The Live preview on the right shows how your enquiry form hero looks. The same colours, font and logo flow through to your PAR-Q, booking page, lead magnets, payment pages and the PAR-Q and payment emails.

If it is not working

  • "Saved locally, but Stripe sync failed: Stripe not connected" in red. Your branding did save. This message only means there is no Stripe account to copy the logo to yet. See Connect Stripe.
  • "Logo must be square-ish". Stripe rejects non-square icons, so crop the logo to a square and try again.
  • "Brand colors must be valid hex values". Type the colour as six characters after the hash, for example #0D9488.
  • The date format looks American. It defaults to MM/DD/YYYY. Change it under Timezone & Regional Settings.
  • Where are my name and email? They were set when you signed up. The only name you can change here is the Business name on the Branding tab.
Tip: the Notifications tab is where you turn new-lead emails and the chat message sound on or off. Those toggles only stick once you click Save Preferences.
