Write down your offers

Save each thing you sell once, then fill in a client's billing with one pick when you convert a lead, add a client or add a plan.

How to save your offers in TrainerStack so a weekly subscription, a session pack or an online program is written down once and the billing form fills itself in from it. Every field stays editable for the client in front of you.

Offers lives under Settings. An offer is the shape of a plan without any dates: what it is, how it is coached, what it costs and how it is collected. When you convert a lead, add a client or add a plan, the billing form has a Start from an offer dropdown at the top. Pick one and the form fills in; the dates are worked out from that client's start date.

Add your first offers

  1. Open Settings and switch to Offers.
  2. Click Add starter offers to get four common shapes: a weekly subscription, a 10-session pack, online coaching, and a 12-week program paid in two parts. Open each one and change the prices to yours.
  3. Or click New offer and write one from scratch.

Write an offer

  1. Give it a name clients would recognise, such as 10-session pack.
  2. Choose how it is Coached. In person is sold by the session, so it can be a Subscription, a Pack or Casual. Online is sold as coaching, so it is a Subscription or a Program.
  3. Choose what it is Collected by. This only sets the starting choice on the billing form; you can still pick Stripe or Manual for each client.
  4. Fill in the price:
  5. A subscription in person has a session rate, sessions per period and how often it is billed. Online it has a price per period and how many video calls are in it, which can be none.
  6. A pack has a number of sessions, a session rate and, if you like, how many days the client has to use them. The expiry date is counted from the day the client starts.
  7. A program has a length in weeks, a price and how many video calls are included. Click Split into instalments to collect it in parts. Each part has a day it falls due, counted from the client's start day, so day 0 is the deposit and week six is day 42. The parts must add up to the program price.
  8. Casual only needs a session rate, since each session is priced when it is booked.
  9. Click Create offer.

Use an offer

  1. Convert a lead, add a client, or click + Add Billing Plan on a client.
  2. Pick the offer from Start from an offer. The form fills in and a line under the dropdown says which offer it came from.
  3. Change anything for this client. The offer itself is not changed. If you switch the plan type, the link to the offer is dropped, since it is no longer that offer.
  4. Finish the form as usual. A pack's expiry and a program's end date and instalments are already dated from the start date; if you move the start date afterwards, pick the offer again or adjust the dates by hand.

Each offer shows how many plans were filled in from it. A plan created from an offer keeps its own terms, so editing or archiving the offer later never changes a client's billing.

Archive or delete

Open the offer and click the archive icon. An archived offer leaves the dropdown and can be restored from Show archived. A deleted offer unlinks its plans but does not touch them.

If it is not working

  • The dropdown says "Tip: write your usual plans down once". You have no offers yet, or none that fit this form. Add them under Settings → Offers.
  • An offer is missing from the dropdown. It is archived, or it is a kind this form cannot create: a casual offer is not shown when adding a plan to an existing client, since casual means no plan.
  • "Instalments add up to … but the program costs …". The parts do not match the price. Change a part or the price so they agree.
  • "An instalment falls after the program ends". A part's day is later than the program's length in weeks times seven.
  • The expiry or end date is blank after picking an offer. The form had no start date yet. Set the start date and pick the offer again.
