Terms and conditions clients sign

Write your terms for each way you work, publish a version, and send it to a client to sign with a typed name and a drawn signature.

How to get personal training clients to sign your terms and conditions in TrainerStack: write a document for each arrangement such as online coaching, in-person sessions, a subscription or a pack, publish it, then send it to a client by email or in the app. They sign on a branded page with a typed name and a drawn signature, get a copy by email, and the signed record stays on their profile for you to view or download as a PDF.

Terms lives under Settings. You keep one document for each way you work, and each client signs the one that applies to them. Signing is electronic: a typed full name, a drawn signature, and the time, address and device recorded with it.

Write a document

  1. Open Settings and switch to Terms.
  2. Click New document and choose what it is for: general, online coaching, in person, subscription, session packs, a challenge, or other. Change the title to suit.
  3. Write the terms in the editor. Headings, lists, bold and links all work. Save draft as you go.
  4. Click Publish when it is ready. That freezes the text as version 1; clients are always sent the published version, never the draft.

Change it later

Edit the document and publish again to create the next version. Clients who already signed keep the version they signed, and their record does not change. New clients get the new version. On a client's profile, a signed record shows a newer version has been published with a Send button, so you can ask them to sign the new one when you need to.

Archive a document you no longer use. It cannot be sent or added to a flow, but every signed record is kept, and you can restore it.

Send it to a client

On the client's profile, the Terms and conditions card sits next to the PAR-Q.

  1. Click Send terms and choose the document.
  2. Choose In the app, which sends a push notification and puts it in their Getting started list, or By email, a branded email with the link. Copy link instead gives you the link to share yourself.
  3. The link works for 30 days. Sending again replaces an open link.

Or make it part of onboarding: add a Sign terms step to a flow under My Clients → Onboarding, choose the document and whether it goes in the app or by email, and every client on that flow is asked when the step runs.

What the client sees

A page with your logo and colours, the terms, a box for their full name, a signature pad, and a tick box to confirm they agree. In the app it opens inside the app. Once signed, the page becomes their copy with a Download PDF button, and the same copy is emailed to them.

Your records

The card on the client's profile shows each document as signed with the name and date, or waiting with how and when it was sent. View / PDF opens the signed record, which prints to PDF from the browser. You also get a notification the moment they sign.
