Running the week

Book, reschedule and log sessions

Add sessions and blocked time, set up repeats, move things, and mark outcomes so billing stays right.

How to book personal training sessions, set up weekly repeats, block out time, move a session and log what happened. The calendar is where attendance, cancellations and billing meet, so marking the outcome keeps payments and packs correct without a spreadsheet.

The Calendar is where sessions are booked and, just as importantly, where they are logged. Sessions never complete themselves. Marking a session complete, no-show or cancelled is what uses a pack credit, counts towards a subscription period, and feeds your analytics.

Book a session

  1. Open Calendar. Click Add Session, or click an empty slot to book straight into it.
  2. Choose the Client/Lead. A client pre-fills their saved rate and duration. A lead switches the form to a free 45-minute Consultation.
  3. Set the Session Type, Date, Start Time and Duration.
  4. Check the Payment panel. A client on a pack or subscription defaults to Use pack credit or Covered by subscription. Otherwise choose Stripe payment link, Already paid (off-platform) or Track for later, and enter a Price.
  5. Tick Repeat for a recurring session. Pick the cadence and days, and when it ends.
  6. Choose In person with a location, or Video call with a meeting link. Your default room from Settings is filled in for you.
  7. Click Save Event. For a Stripe link, a Payment link ready panel appears with Copy link and Email link.

Block time off

Click Block Time, give it a title, date, start and duration, and tick Repeat if it recurs. Blocked time stops the booking page offering those times.

Reschedule

  • Drag a scheduled session or blocked time to a new slot. Its length is kept.
  • Or open the session, click More, then Reschedule….
  • For a recurring session you are asked This session, This and future sessions or All sessions.

Log what happened

  1. Click the session. The footer shows Mark complete and More.
  2. Mark complete finishes it in one click. A pack-credit session is marked paid and the credit is used. A subscription session counts towards the period.
  3. More → Mark as no-show keeps the slot consumed and uses a pack credit.
  4. More → Cancel session… asks whether the Client gave notice (slot freed, credit returned) or it was a Late cancel (slot consumed, credit stays used).
  5. For a casual session that is still unpaid, use Record manual payment or Create payment link in the Payment section.
  6. Made a mistake? More → Reopen as scheduled puts it back, and counts are recalculated.

What you should see

  • The legend colours change: Completed, Cancelled or No Show.
  • The chips in the session header show the status and whether it is Paid, Covered or Unpaid.
  • The dashboard's Sessions to log count goes down. It lists anything still scheduled from the last seven days.

If it is not working

  • "Enter a session price before booking a billable session." The client has no saved rate. Type a price, or save a rate on their record.
  • "Select a client or lead." Every session needs one.
  • Drag does nothing. Only sessions still Scheduled can be dragged. Reopen a finished session first.
  • I cannot find the price when editing. The edit form has no price field. Change billing from the session's Payment section, or remove and rebook.
  • A client declined in the app but the session is still there. Declining only flags it with Client declined or Late cancellation. You decide the outcome with Cancel session….
  • Remove from schedule versus Cancel. Remove permanently deletes the row and asks what to do with any payment. Cancel keeps the history. Use Cancel unless the booking was a mistake.
  • A repeating series only goes a year ahead. Open-ended series are extended automatically each day.
  • Deleting a series left some sessions behind. Paid sessions stay so you can refund them or keep them as make-ups.
  • A cancelled client is missing from the picker. Cancelled clients are hidden. Reactivate them from My Clients first.
