Plan a client's training calendar
Move, copy and edit a client's workouts, add one-off sessions to any day, and see the activities they add themselves.
How to work with the Calendar tab in a client's workspace. Covers moving and copying workouts, editing a session and carrying the change into later weeks, adding a one-off workout or activity to a single day, two sessions on one day, and the activities clients log on their own.
The Calendar tab in a client's workspace is their training month: every workout and activity from the blocks they have added to their calendar, any one-off sessions you or they have added, and what they logged. Open the client (My Clients → their row → Open full profile) and click Calendar.
Move, copy and edit
- Move a workout by dragging its card to another day.
- Copy one with the copy icon on its card, then click the day it should go to. The copy is its own session with its own logs. Press Esc to cancel.
- Edit by clicking the card. Exercises the client has already logged are locked; everything else can change. In a program block, tick Also apply these changes to N later weeks to carry just what you changed into the same day of every later week. Review shows what travels and where it lands.
- Delete sits at the bottom of the editor.
Add a one-off workout or activity
Sometimes a day needs something the program does not have: an extra conditioning session before a holiday, a yoga class, a test day. Hover over a day and click the + in its corner.
- Choose what to add:
- From library lists your saved workouts and activities. Pick one and it opens as a copy you can change. Changes apply to that day only, not the library entry.
- New workout gives you a blank workout with the same exercise cards as the program builder. Name it and click Add Exercise.
- Activity sets up a walk, run, ride, class or similar with Target minutes, an optional Distance (km) and Notes for the client.
- Optionally pick a Time of day (Morning, Afternoon or Evening) so it sits in the right order on a day that already has a session.
- For a new workout or activity, tick Also save to my library to keep it for next time.
- Click Add to calendar.
A one-off only lands on that day. It does not change the client's program, does not appear in their program list, and is not affected when a block is rescheduled. The client sees it on their calendar as an Extra session from you, and it counts toward their workout adherence like any other session you set. Once added, it moves, copies and edits like any other card. The editor shows One-off in place of the program and week.
Two sessions on one day
A day can hold more than one session, such as a morning lift and an evening class. Sessions with a time of day are listed in order (morning, afternoon, evening) with the label on the card, and sessions without one come last. To build this into a program, so every week has the pair, see Two sessions on one day in Build and assign a training program.
Activities the client adds themselves
Clients can add their own activity from their calendar, like an extra spin class or a weekend hike. These cards carry a small person icon, and hovering over it reads "The client added this themselves."
- They do not count toward workout adherence, so a client cannot make up a missed session with an extra walk. Adherence on the client's profile and in the check-in's training week only counts what you set.
- They do count as completed activities, with their minutes, in the check-in's training week.
- In the Activity section at the bottom of the client's Programs tab they are grouped under Added to the calendar, tagged Client added, with the minutes, distance, effort and any note they left.
You can open, edit, move or delete them like any other card. A copy you make of one is yours, so it counts toward adherence.
If it is not working
- There is no + on the days. It hides while you are pasting a copied workout. Press Esc or paste first.
- From library is empty. Nothing is saved under Programs → Workouts yet. Build the session under New workout and tick Also save to my library.
- The one-off is not in the client's program list. By design: one-offs live on the calendar only.
- "One of those exercises is not in your library." The workout uses an exercise you no longer have. Swap it for one from the picker.
- A client-added activity is not in their adherence. That is intended: adherence measures what you asked of them.
