Create and review check-ins

Set up a recurring check-in for a client, see what they submit, and leave feedback they can read.

How to set up a recurring client check-in with measurements, photos and questions, see what the client submits in their app, and leave feedback they can read. Check-ins are the weekly rhythm of online and hybrid coaching, and this is the whole loop.

A check-in is a questionnaire the client completes in their app on a schedule. Questions can be tracked as metrics, so body weight, girths and wellness scores build a timeline, and progress photos sit side by side with earlier ones. You schedule check-ins from the client's Check-ins tab (the same card also sits on their Profile tab) and review them from the Check-ins view in My Clients or that same tab.

Before you start

The client needs an active app account. See Add a client and invite them to the app.

Set up the check-in

  1. Open the client and click their Check-ins tab. The check-in card is at the top. From the My Clients Check-ins view, the Set up check-in button on a row brings you straight here.
  2. Click Choose a template. Two read-only defaults are provided, Weekly Check In (Male) and Weekly Check In (Female). Use one as is, or click Duplicate to make an editable copy.
  3. To build your own, click + Add new template. Name it, add questions with + Add Question, and set each type: text, number, scale, choices, yes or no, Progress Photos, or Body weight. Use Track as a metric on numbers you want charted, such as waist or neck. Click Create template.
  4. Select the template and click Assign to client.
  5. In Schedule check-in, choose the Frequency (weekly, bi-weekly, or monthly meaning every 28 days) and the Day of the week, then click Save.

Review a submission

  1. Open My Clients and click Check-ins beside the search box. Each client shows a pill: Overdue, Pending, Complete, Missed or Not set up. "Complete · Awaiting your review" is the one to open. The dashboard row Check-ins to review brings you here too. A client who has missed two check-ins in a row is tagged Top priority and sorted to the top; the Top priority chip filters to them, and the dashboard row Clients missing check-ins counts them.
  2. Click the row to open the review inline, or use Open check-ins for the full history.
  3. Read the metric cards, body weight trend, wellness, nutrition, training (the muscles they worked and the sets and volume they logged in the app that week), steps and sleep, then the Responses. Click any progress photo to open the compare view, where you can pick an earlier date and zoom.
  4. Write your notes under Trainer feedback and click Mark reviewed. The client only sees feedback once you do.

What you should see

  • The client's check-in card shows "Assigned check-in" with the template name, the cadence, and the next date.
  • The afternoon before it is due (from 4pm in the client's own timezone) the client gets a "Check-in tomorrow" push. On the due day the check-in appears in their app with a "Check-in due" push. When they submit, they see a summary of their week (check-in streak, workouts, volume, personal bests, weight change) and you get a "Check-in submitted" notification; the roster pill reads Complete.
  • Clients can see their own check-in record on the app's Progress tab: how many they have done in a row, a dot per recent check-in (done or missed), and a History link to every past one with your feedback.
  • After review the client sees a "Trainer feedback" card with your notes and the date.

If it is not working

  • The Schedule, Replace and Remove buttons seem missing. They appear when you hover over the assigned check-in card.
  • The client did not get a reminder. Click the bell on their row to nudge them. It works once every 12 hours, only before they submit, and only if they have an app account.
  • The client missed a check-in. An ignored check-in shows Overdue until the next one comes due; it is then kept in the history as Missed (for you and for the client). Two misses in a row flag the client as Top priority on the roster and the dashboard, and the history shows a banner with how many they have skipped.
  • The Body fat chart is empty. It needs tracked waist and neck questions (and hips for women), plus the client's height and sex saved in their Nutrition targets.
  • Wellness, nutrition, steps or sleep say nothing was logged. Those come from the client's daily logging and wearable, not from the check-in questions.
  • I edited a template but the client's check-in did not change. Each scheduled check-in is a snapshot. Click Replace on the card and assign the updated template.
  • Away or cancelled clients get no check-ins. The schedule pauses and resumes when they are active again.
