Client groups and app features

Put clients in groups, choose what each group gets in the app (chat, Vault, nutrition, program library, check-ins), override a switch for one client, and post to a group's announcements chat.

Not every client needs the whole app. TrainerStack lets you sort clients into groups and decide, per group, which features their app shows: chat with you, the Vault, the Nutrition tab, the program library and check-ins. Coached and Members are built in; you can add your own groups, fill them by hand or from an offer, and override any switch for one person from their profile.

Open My Clients and click Groups in the view switcher. Every trainer starts with two groups that cannot be deleted:

  • Coached: everyone on your client roster. Chat, Vault, Nutrition and Check-ins are on; the program library is off.
  • Members: people who bought a self-serve offer. Vault, Nutrition and the program library are on; Chat and Check-ins are off, because nobody is coaching them.

A client is in exactly one of the two, following whether they are a coached client or a member. Make a member and Move to clients (on the Members tab) move them between the two. You can rename either group and change its switches, but not add or remove people by hand.

The five switches

SwitchWhat it controls in the client app
ChatThe chat bubble and the direct conversation with you. Group chats you add them to stay on either way.
VaultThe Vault tab and the folders shared with them. Also needs the Vault switched on under Resources.
NutritionThe Nutrition tab: food diary, meal plans, targets and recipes.
Program libraryPicking and starting programs you have made available to members.
Check-insCheck-in forms on the dashboard and Progress tab, and the reminder the night before.

Chat and the Vault are enforced on the server, not just hidden: a client with chat off cannot open or post in the direct conversation even with an old build of the app, and folders are invisible to a client whose Vault is off.

How a client's switches are worked out

  1. A switch set on the client's own profile (App features card) wins.
  2. Otherwise, look at every group the client is in. If any of them has the switch on, it is on for the client.
  3. Otherwise the switch is off.

So a group can only ever add features on top of what a client already has from Coached or Members; to take a feature away from one person, use their profile.

Make your own group

  1. On the Groups view click New group, give it a name and, if you like, a description for yourself.
  2. Turn on the switches this group grants.
  3. Tick the clients in the group. You can search by name or email.
  4. Under Add buyers of these offers, tick any offers whose buyers should join this group when their first payment lands. The same list is on each offer under Marketing → Offers & store as Add buyers to groups.
  5. Click Create group.

A client can be in several groups. The Groups view shows how many clients each group has and which switches it turns on.

Override one client

Open the client's profile. The App features card lists the five switches with their current state and where it comes from ("From Members", "From Coached", "Set on this profile"). Each has three choices:

  • Follow groups: the default, worked out from their groups as above.
  • On or Off: fixed for this client, whatever their groups say.

Changes apply the next time the app refreshes. If you switch chat off for someone you have been messaging, their conversation stays in your chat bubble marked Chat off, with the history intact but no composer; switch chat back on to carry on.

Announcements for a group

A group can carry a broadcast-only chat: you post, everyone in the group reads, nobody can reply. It is the way to reach members whose direct chat is off, for example to say a new program is available.

  1. Open the group and turn on Announcements chat. A group conversation named after the group appears in your chat bubble.
  2. Post there as you would in any trainer-only group. New members join it automatically; people you remove leave it.
  3. Turning it off deletes the chat and its history.

Share a Vault folder with a group

In Resources, edit a folder, choose Only certain clients or groups and tick one or more groups beside the client list. Everyone in the group sees the folder, including people who join the group later. Tick Members for a members-only folder.
