What clients can change in their program
How a client adds a block to their calendar, moves workouts, and swaps an exercise in the app, and what you see when they do.
What a client can do with a pushed program from the client app: add a block to their calendar, move a single workout or the rest of the block, and swap an exercise for one of your alternatives or anything in the library. Covers the rules that stop blocks doubling up or overlapping, and the notifications you get.
Once you push a block, the client owns the calendar side of it. They choose when it runs and which days they train, and they can adapt it on the day without messaging you first. Everything they change is visible on Programs → Client Activity, and swaps also arrive as notifications.
Adding a block to the calendar
- The client opens the program from My Programs on their dashboard and taps Add to Calendar.
- They pick a Start Date and their Workout Days. The workouts are laid onto those days in order and roll forward week to week.
- Once the block is on the calendar the button reads View in calendar, and the block shows "On your calendar" with the date of the next workout. The block cannot be added a second time while it still has workouts ahead, so tapping into the program later takes them to the calendar rather than doubling up.
- The next block you push can be added straight away, but its start date has to fall after the current block's last workout. The app tells them the earliest date and greys out anything before it.
Moving workouts
- One workout. On the calendar, each upcoming workout card has a Move button. They pick a new day. If the block has more workouts on that same weekday, a tick box offers to move those too, so "every Wednesday" can become "every Thursday" in one go.
- The rest of a block. Opening Add to Calendar on a block that is already scheduled offers Move remaining workouts. They pick a new start date and days, and every upcoming workout they have not started moves across in order. Completed workouts stay where they were done.
- Moves cannot push one block into another block of the same program. If it would overlap, the app asks for a different date.
Moving never deletes anything. Logged sets, swaps and notes travel with the workout.
Swapping an exercise
- In a workout, the client opens an exercise and taps Swap.
- If you set Alternatives on that exercise in the builder, those are listed first under Coach's alternatives. Below that they can search the whole library, which includes your custom exercises.
- They choose Just this workout or Rest of this block. The second option changes every upcoming workout in the block that has the same exercise, and the block itself, so a reschedule keeps the swap. Workouts already completed are left alone.
- The card shows the new exercise with "coach set" and the original name underneath. Back to the original is the first option in the sheet whenever something is swapped.
Sets, reps, loads and rest stay exactly as you prescribed for the original exercise. The app says so, and asks them to adjust as they go. For exercises prescribed as a percentage of 1RM, the percentage still refers to the original lift, so a swap there is worth a look from you.
What you see
- An Exercise swapped notification for each swap or revert, naming both exercises and whether it was one workout or the rest of the block.
- Programs → Client Activity lists swaps alongside logged sets, skipped exercises and notes.
- The client's Calendar tab in their workspace shows moved workouts on their new days.
If it is not working
- "This block is already on your calendar." They tried to add a block that still has upcoming workouts. Use View in calendar, or Move remaining workouts to change days.
- "Those dates run into another block of this program." Pick a start date after the other block finishes, or move that block first.
- The client cannot swap an exercise. Swap is only offered on workouts they have not completed. Check the workout is not marked done.
- An alternative is missing from their list. Alternatives are set per exercise in the block, and only on blocks pushed after the change. Edit the client's copy on their Calendar tab for a block that is already live.
